How does it work?
Cachebox helps owners get out from under the burden of paperwork. Disordered accounting processes are frustrating and lead to bad decisions. When Cachebox joins a team, we go to work at easing the administrative burden, allowing management to focus their energy on commerce.
Successful businesses are not measured by their adherence to sound accounting principles, they are measured by return on investment. There is nothing worse than when the accounting office chokes the energy and fun out of the front counter.
That said, we don’t take any shortcuts when it comes to building a paper trail. We believe preparedness is the best defense against a possible future audit. Each expense claim is proven by a supporting document. Each accounting decision conforms to generally accepted accounting principles and Canadian tax regulation.
Throughout the year, we consult with your accountant to provide them with the data they need and to seek their advice as needed. We finish the fiscal year by submitting them a package, which they use to prepare your income tax return.
A four-part process
You'll notice, you don't have to do too much.
Our client digitally captures every document using Fujitsu's ScanSnap technology. One button. Direct to LedgerDocs, our document management system. Invoices and other documents already in digital form are directly uploaded.

Our bookkeeping team processes the document, posting it into QuickBooks Online and filing it within LedgerDocs. All documents are accessible to the client indefinitely and protected using AES-256 bit encryption.
Pay

Every week, our bookkeepers generate a digital "cheque run," sending it to the client for approval. Once approved, the payment (e.g. accounts payable, payroll, tax) is issued either in the form of EFT or a physical cheque.
Post
After posting all entries and completing the reconciliations, we close the month. Financial reports are generated, distributed to shareholders, and evaluated. Cachebox offers sophisticated reporting and cashflow planning.

Cachebox works with a client to understand its workflow and needs. We make adjustments in consultation with its stakeholders. A monthly price is established and we continue until we achieve frictionless integration. We keep our eyes on the basics until we've locked in a rock-solid processes.
